How to Document Your Houston Custom Home Build

Documenting your custom home build protects you legally, helps with warranty claims, and creates a record of every system in your home. Here is what to capture at each stage.

Why Documentation Matters

A custom home contains thousands of decisions that are invisible once drywall is installed: where pipes run, where electrical wires are located, which structural connections are made, and what materials were used inside the walls. Documentation creates the record you need for future renovations, warranty claims, insurance purposes, and resale.

Documentation also protects you contractually. Photographic records of work that is later claimed to be unacceptable are invaluable if a dispute arises with the builder or a subcontractor. A record of what was installed — and when — resolves most disputes without litigation.

What to Photograph at Each Stage

Capture photos at each of these milestones:

  • Pre-slab: photograph the rebar layout, PT cable placement, and plumbing rough-in under slab before concrete is poured. These systems cannot be inspected or accessed after pour.
  • Framing: wide shots of each room from multiple angles, plus close-ups of structural connections, beam pockets, and window rough openings.
  • MEP rough-in: photograph every wall and ceiling cavity showing pipe routing, wire routing, and duct routing. Walk every room systematically. This is the last time these systems are visible.
  • Insulation: photograph insulation in walls, attic, and any crawl spaces before drywall cover.
  • Drywall finish: photograph any areas where drywall damage occurs during MEP trim-out, before touch-up.
  • All completed systems: HVAC equipment with model and serial numbers, electrical panels and circuit schedules, water heater, and any specialty equipment.

Records to Keep

Beyond photos, maintain a project file with: the signed construction contract and all change orders; all product specifications and data sheets for installed systems; manufacturer warranties for appliances, HVAC equipment, roofing, windows, and structural systems; subcontractor contact information for every trade; the final permit set and any permit amendments; the certificate of occupancy; and all inspection reports.

Organize the file by system (foundation, framing, plumbing, HVAC, electrical, roofing, windows, etc.) so that any future contractor or inspector can quickly find what they need. A well-organized project file adds real value at resale and speeds up any insurance claim significantly.

How long should I keep construction records for my Houston home?

Keep all construction records for the life of the home. The implied warranty period for construction defects in Texas is 10 years for major structural defects and 2 years for other defects under the Texas Residential Construction Liability Act (RCLA). Records are most valuable during warranty claims, but their value for renovation guidance, insurance claims, and resale disclosures extends indefinitely.

What is an as-built drawing and should I request one?

As-built drawings are updated versions of the construction drawings reflecting any changes made during construction. The as-built set shows where pipes, wires, and structural elements actually are, as opposed to where they were designed to be. Not all Houston custom home builders produce as-built drawings by default. Request them in your contract. They are most valuable for MEP systems — knowing the exact location of plumbing, gas, and electrical runs saves significant time and money on future renovations.
